Privacy Policy

This policy explains, in plain English, what information Markwell handles and how it is used.

Effective October 14, 2026

Who we are and what this policy covers

Markwell is operated by Dr. Jeff Kozak. Markwell is a treatment recovery workflow for dental practices.

This policy describes how information is handled when someone:

  • visits the Markwell website;
  • sends a Contact or Demo enquiry through the website;
  • uses a Markwell practice account; or
  • uses Markwell to manage treatment recovery workflow information for a dental practice.

It is organized in three parts: website visitors and enquiries, practice user accounts, and treatment and workflow information handled through the Markwell application.

Information you send through our website

Contact form

  • Required: your name, practice name, email address and message.
  • Optional: the practice-management software your practice uses.

Demo request form

  • Required: your name, practice name, email address and the practice-management software your practice uses.
  • Optional: your phone number, practice size and a message.

When you submit either form, the Markwell website checks the details and sends them to us as an email through our email-delivery provider. The website itself does not save your submission in a database.

We use these details to respond to your enquiry, to arrange a demo if you have asked for one, and to keep ordinary records of our communications where needed.

The forms also include a hidden field that helps filter out automated spam. Visitors do not see or fill it in.

Information in the Markwell application

Dental practices use Markwell to organize follow-up on treatment that has been presented. Depending on how a practice uses Markwell, the application can hold the following kinds of information. Not every practice or import includes every category.

Practice user accounts

  • Name or display name, email address and role.
  • The account information needed to sign in and use Markwell.
  • A record of which user carried out certain actions, such as logging a contact.

Imported treatment information

  • Treatment or procedure information, treatment value, dates and treatment status.
  • Appointment-related information and other fields, where the practice’s export includes them and they are imported.
  • Patient-identifying information, such as a patient’s name or patient ID, depending on the practice’s export and import settings.

Workflow information entered by practice staff

  • Contact actions and notes.
  • Barriers, treatment outcomes and follow-up dates.
  • Long-Term Hold and No Further Follow-Up decisions.
  • The history of these actions and of changes to a treatment’s status.

Reporting information

Markwell uses this information to show treatment opportunities and reporting, including Markwell Opportunity and Markwell-Tracked Recovery.

How practices provide information to Markwell

  • The dental practice chooses what treatment-plan information to export from its practice-management system and import into Markwell.
  • Markwell works from imported treatment-plan data. It does not directly connect to, synchronize with or write back to the practice-management system.
  • The practice-management system remains the practice’s clinical source of truth.
  • Practice staff create and maintain the workflow information in Markwell.
  • When a treatment-plan file is imported, Markwell reads it and stores the treatment information imported from it. The original CSV file itself is not kept.

How information is used

We use information to:

  • provide and operate Markwell;
  • let practice staff organize treatment recovery work;
  • maintain follow-ups and workflow history;
  • produce Markwell reporting, including Markwell-Tracked Recovery;
  • maintain user accounts and access;
  • respond to enquiries and demo requests;
  • maintain and improve the service where appropriate; and
  • protect the service and troubleshoot problems.

Markwell does not sell personal information or use it for advertising.

Service providers

Markwell relies on a small number of service providers to run the website and the service. They receive information only as needed to provide those services to Markwell.

  • Website enquiries are delivered by email through Resend, an email-delivery service, to the email inbox Markwell uses for enquiries, which is provided by that inbox’s email provider.
  • The Markwell website and application run on hosting infrastructure provided by service providers.

Cookies, analytics and tracking

The Markwell website currently:

  • does not set or read cookies through its own code;
  • does not use your browser’s local or session storage;
  • does not include analytics, advertising trackers or tracking pixels;
  • does not include CAPTCHA, chat or newsletter tools;
  • serves its fonts from the Markwell website itself; and
  • does not include embedded videos from other websites.

As with any website, the infrastructure that delivers our pages receives standard request information, such as your IP address and browser details, in order to deliver them.

If these website practices change, we will update this policy.

Keeping information

We keep information for as long as it is reasonably needed for the purposes described in this policy, to operate Markwell, to keep ordinary business records, or as otherwise required.

Treatment and workflow information is kept while it is needed to provide Markwell to the practice. Questions about a practice’s information can be raised through our Contact page.

Security

We take reasonable steps to protect the information Markwell handles. No method of storing or transmitting information can be guaranteed to be completely secure.

Privacy questions and requests

You can contact Markwell with questions or requests about information through our Contact page.

  • If you have sent us an enquiry through the website, you can ask about the information you submitted and ask us to correct or delete it where appropriate.
  • Treatment and workflow information in Markwell comes from, and is managed in connection with, the dental practice that uses Markwell. Patients or practice staff with questions about treatment information held by a practice should contact that dental practice first.

Changes to this policy

We may update this policy as Markwell evolves. The effective date at the top of this page shows when it was last updated.
